Choosing the Right Corporate Gifting Vendor: A Procurement Checklist

Quick answer. Never select a corporate gifting vendor on unit price alone. Ask for MOQs, real lead times, sample cycles, ESG documentation, and packaging protocols — and treat vagueness on any of them as disqualifying for high-visibility programmes.

Why Vendor Selection Criteria Matter Beyond Price

A ₹50 saving per hamper on 2,000 units looks like ₹1,00,000 saved. It is worthless if 200 hampers arrive damaged, or if the vendor cannot produce origin documents when a client's ESG audit asks for them.

MOQs, Lead Times & Customization Limits

Ask, in writing:

  • Minimum order quantity per SKU and per personalisation technique.
  • Realistic lead time for the specific quantity you need — not the marketing figure.
  • Sample cycle and cost.
  • Which branding techniques the vendor executes in-house vs subcontracts.

ESG and Compliance Documentation to Request

  • GST, MSME, Udyam registration.
  • Supplier code of conduct.
  • Child labour and forced labour declarations.
  • Material provenance (FSC, GoodWeave, Handloom Mark where applicable).
  • Packaging: recyclable/biodegradable breakdown.
  • Data-handling policy if the vendor handles recipient PII (name, address).

Red Flags in Vendor Proposals

  • One-line quotes with no unit breakdown.
  • 'Anything possible' festive-season lead times.
  • No sample offered before order confirmation.
  • No named production point of contact.
  • Inability to name factories or artisan clusters when asked.

Frequently asked

What is the biggest single mistake in corporate gifting vendor selection?

Choosing on price alone. Cheap-per-unit almost always means brittle logistics, no customisation depth and no ESG documentation — which costs the programme in reputational risk during festive season.

What ESG documents should I ask vendors for?

GST and MSME registration; supplier code of conduct; child labour and forced labour declaration; material provenance for sustainable claims; packaging waste protocol.

What's a red-flag lead time?

'2 weeks for anything' during festive season. It usually means the vendor is buying finished stock and slapping stickers on it — you will not get real customisation.
